Nothing here is automated and nothing here is instant. This page lays out every step in order, including the ones where the answer is no.

Taken literally: you say what you want, and the reservation goes across from here to the firm on the ground. Not a cent of it moves through Quiet Quarterly Bookings LLC, there is no box anywhere on these pages for card details, and your name sits against nothing at all until a figure has arrived in writing and you have said yes to the conditions attached to it.

Somebody at Quiet Quarterly reads what you send. Not a routing script, not a chatbot with a name, and not a form that files your message into a queue nobody opens until Thursday. A person in Rochester sits down with it, works out which of the six obstacles you are actually up against, and starts asking operating companies real questions with your dates in them. That is the whole method. It is slower than a search box and it produces answers a search box cannot produce, because a search box has never once told anyone that the trip they picked will not survive a party that walks at two different speeds.

What follows is the sequence, stage by stage, with the waiting written in rather than hidden. Two of these stages depend on other companies replying to us, so they take days, not minutes. One of them ends with you saying no and owing nothing. We would rather you read all of that here than discover it four messages in.

1. the message lands
Send it through the request form at whatever hour suits you, since the form runs 24/7 and never closes. It reaches a person in Rochester, and that person reads it before the end of the working day it arrives on. What we do first is read it against the six obstacles, because a request that mentions a wheelchair and a fixed week in February is really two separate problems and both of them narrow the field.
2. we go and ask
We write to the operating companies that run the trips still standing after that reading. Usually two of them, sometimes three when the dates are awkward. They come back with what is actually held for your window, which is frequently not what their own page shows, and occasionally with a flat no. We pass the no along in the same words they used.
3. the figure arrives in writing
Two to four working days after your request, you get a written figure for your dates, and it names the company that will run the trip. Attached to it are that company's own booking terms, its own cancellation schedule, and its own deposit rules, unedited by us. given human eyes before that working day is over is the short answer we can give before the companies have answered; the figure is the long one.
4. you say yes or you say no
Read the figure and the terms attached to it, take a week over it if you want, then tell us either way. If the answer is no, that is the end of it: nothing is owed to this office, no card was ever held because we hold no card details at any point, and the request simply closes. Nobody from here will follow up to change your mind.
5. the operating company bills you
Say yes and we place the reservation with that company, which then invoices you directly under the terms you already read. Your money goes to them, never through Quiet Quarterly Bookings LLC. Long after you are home, that company pays us a commission out of what it earned, and that payment is the only income this office has.
6. while you are away, and after
Your booking reference and the operating company's own contact details go to you in writing before departure, because in a live situation you want the people on the ground, not an office in NY. Quiet Quarterly Bookings LLC stands on its own: no carrier, no hotel group, no shipping line, no railway, no operator and no booking portal owns it, appoints it or speaks for it, and it claims no such tie. Travellers hand it nothing at any stage.

The two things this office refuses to do

The first refusal is about advice we are not qualified to give. Quiet Quarterly does not sell travel insurance and will not tell you which policy to buy. It does not advise on visas, passports, or any entry document, and it does not check whether yours is valid for where you are going; that is between you, the operating company, and the authority that issued the document. Nothing on this site is medical or legal advice, and a question about fitness to fly belongs with your doctor rather than with us. Where those subjects touch a booking we will tell you plainly that you need to ask elsewhere, which is a duller answer than the one you wanted, and it is the only honest one available.

The second refusal is stranger and people push back on it. We will not tell you which trip is better. Ask two of us and you will get two different answers, which is itself the argument: better is not a property a trip has, it is a relationship between a trip and a particular party in a particular month. What we will do instead is put the facts side by side, which is what the obstacle grid exists for, and say out loud where each trip fails. Every entry in the catalogue carries its failures: the one with fourteen miles of walking says so, the one that puts a single traveller in a double room and charges accordingly says that too. Between $1,285 and $4,980 there are twenty-two trips on this site and not one of them is ranked against another. You decide. We book what you decided, and we tell you honestly if the dates make it impossible.

Bring us the version of the problem you actually have

The requests we can do most with are the ones written the way you would say it out loud. That is enough to work with. Vague requests get vague answers, not because we are being difficult, but because we cannot ask an operating company a question you have not answered yourself. This booking request form stays awake 24/7; no hour of any week shuts it. Whatever lands in it is given human eyes before that working day is over. Pricing your own dates needs two to four working days beyond that, because two separate operating companies have to answer before the figure can be written down.

There is nowhere on this site to type a card number, on this page or any other. Pressing send puts no name against a bed: it starts the asking. A reservation becomes real only once you have read a written figure, seen which company issued it, and agreed to that company’s terms. Read the cancellation terms before you agree to anything.
